How do I clock in and out?
Tap the Time tab at the bottom of the app. You'll see a large Clock In button. Tap it to start your shift — a live timer will show how long you've been on. To clock out, tap Clock Out and you'll have the option to add a note before confirming.
How do 24-hour shifts work?
When adding a manual entry, if your end time is earlier than your start time (e.g. 07:00 to 07:00, or 19:00 to 07:00), the app automatically carries the clock-out to the next day. You don't need to split the entry at midnight. A hint below the time field confirms this.
How do I request PTO or time off?
On the Time tab, tap "Request Time Off." Choose the type (PTO, Sick, or Vacation), enter your start and end dates in YYYY-MM-DD format, add an optional note, and tap Submit. Your request will appear as Pending until an owner or admin reviews it.
How do owners approve time off requests?
Owners and admins will see a Requests button on the Time tab showing the number of pending requests. Tap it to open the requests panel. Each pending request has Approve and Deny buttons. Approving a request automatically creates time entries for every day in the requested range.
How do I set up my pay period?
Tap the gear icon on the Time tab (owners only). You'll see the Pay Period Settings screen. Choose a preset length (weekly, bi-weekly, 4 weeks, monthly) or enter a custom number of days. Then pick which day of the week the period starts on. The summary will show exactly how your periods will be calculated before you save.
Can I add time entries manually?
Yes — owners can add manual entries for any crew member. In the Team Hours view, tap a member's name, then tap "+ Add Entry." A calendar will appear showing all days in the pay period. Tap any day (including future dates) to add an entry. Enter start and end times in 24-hour format.
How do I export a pay period report?
In the Team Hours view, tap a member's name to open their detail. Tap the "PDF" button in the top right. The app will generate a PDF report showing their total hours broken down by Work, PTO, Sick, and Vacation, with a full entry table. Your device's share sheet will open so you can save or email it.
What do the different roles mean?
Owner — full access including billing, pay period settings, and all admin functions. Admin — can manage team hours, approve/deny requests, add manual entries, and create tags. Employee — can clock in/out, submit loadouts, and request time off.
How do I invite my team?
Go to the Team tab and tap "Add Member." Create their account with a name, username, and temporary password, then assign them a role. Share your company code with them — they'll use it along with their username and password to log in on their own device.
Why is my pay period not saving?
Make sure you tap the "Save Pay Period" button after configuring your settings. The app requires both a period length and a start day to be set. If changes aren't persisting after restarting, try signing out and back in. If the issue continues, contact support.
How much does Loadout Manager cost?
$15 per month for your entire company — unlimited team members, templates, submissions, and all time tracking features. You can cancel anytime from the Billing section in Settings.
How do I cancel my subscription?
Go to Settings → Billing → Manage Subscription. You can cancel at any time. Your subscription will remain active until the end of the current billing period. If you have trouble, email us at [email protected] and we'll take care of it.
